How to Fix an iPhone Calendar Not Syncing With Outlook

In Outlook, you can easily schedule a meeting and send an invitation to everyone who needs to attend. The meeting appears as a line on your calendar and allows attendees to accept or decline it. If someone accepts the appointment request, the line turns green and shows that s/he is coming. If the meeting has been accepted by all required attendees, you can check it off as completed by clicking it in your calendar view or selecting Mark Complete from the drop-down menu next to each item on your calendar.

Click Calendar again to open it and change your settings if necessary.

To schedule a vacation in Outlook, you’ll need to open your calendar and click the New Meeting button on the Home tab of your ribbon. This will open up a dialog box where you can enter all of the relevant information.

To schedule a meeting, click New Meeting on the ribbon. To do this, follow these steps:

  • Click the File tab in Outlook 2016 and then select New > Other.
  • In the dialog box that appears, click Scheduling Assistant from the list of options to open it up (see Figure 1).
  • Click New Meeting on the Ribbon to bring up your Schedule a Meeting window (see Figure 2).

In the To field, enter your own email address and click Send.

Alternatively, you can enter more than one email address in the To field. This is a good idea if you want to schedule meetings with people who don’t have your personal Outlook address or if you’d like to invite multiple attendees to an event at once.

To do this, type in something like “meeting attendees” and then add a comma after it (it’s okay if there are no spaces). Enter your own email address at the end of that line but before another comma (again, make sure there aren’t any spaces). Then click Send.

The meeting invitation will go out to everyone on both lists—you’ll receive responses from everyone who has access to those two groups of people. However, keep in mind that all meeting attendees will be able to see each other’s email addresses when they receive the invitation; this may not be an issue for casual get-togethers among friends but could cause problems for business-related events where privacy should be maintained

Review your calendar to make sure it shows your meeting as you expect.

To make sure the meeting is configured correctly:

  • Check that all attendees can see the meeting. If an attendee doesn’t have permission to view it, he or she won’t get an invitation, even if you’ve sent one.
  • Verify that the time and date are correct for all attendees. Temporal details like this are especially important when it comes to scheduling meetings with people in different time zones (or who use Outlook Online). The only way to ensure everyone has access at the same time is by setting up your calendar with a global time zone setting of GMT-05:00 (New York) or GMT-04:00 (Caracas). This ensures that everyone sees their calendar as it appears on their computer screen at 9 AM EST (GMT-05:00), regardless of where they live or work.
  • Confirm that there are no conflicts using Smart Scheduling

If needed, click Response Options to change how people can respond to your appointment.

  • To change the Response options, click the drop down arrow next to the meeting invitation, then select one of these options:
  • Accept – Respond by clicking Accept.
  • Tentative – Response will be Not Appearing but you can still add a response if you want to attend later on or if plans change. You can also respond with “Yes” or “No”.
  • Decline – Respond by clicking Decline so that your invitee won’t see that you’re attending their meeting and they won’t get a reminder before it starts.

If you want to do anything with the meeting invitation that was just sent, you can view it in your Sent Items folder. Click Meeting on the toolbar and select Go to Date from the drop-down list or click the Calendar icon on the navigation bar and choose a date from the drop-down calendar attached in Schedule View. Your new meeting is highlighted in red so you can find it easily.

If you want to do anything with the meeting invitation that was just sent, you can view it in your Sent Items folder. Click Meeting on the toolbar and select Go to Date from the drop-down list or click the Calendar icon on the navigation bar and choose a date from the drop-down calendar attached in Schedule View. Your new meeting is highlighted in red so you can find it easily.

Once there, use any of these steps:

  • Change response options for all attendees
  • Change time or location for all attendees
